The Problem
GPT instigated the CTI Replacement Project and commenced a feasibility study. The study considered GPT’s processes (As-Is and To-Be), requirements, solution options, sourcing strategy, operating model as well as implementation and ongoing operational costs. After board approval of the preferred solution to transition from CTI to SAP RE-FX platform and Microsoft BI (reporting), Elwyn took the business-led role to augment the process owners and provide leadership in the delivery of key workstreams of process design, data migration, reporting and making sure the business was ready prior to the project commencing.
The Solution
The process workstream required documentation of the current state processes, reporting, and integrations with key process owners and approvers, to collate the end-to-end scope to manage the future change. After the completion of the processes, the project moved to how the business will transition to the future state pending the approved solution. After the solution was endorsed, Elwyn led the business to collaborate with the vendor and the systems integrator to define future state processes and key design decisions, prior to project commencement. The reporting stream required the top-down change approach to define the future strategy and to classify the requirements into relevant reporting components to drive the appropriate decision-making for day-one deployment, future milestones, and enterprise data initiatives.
The Data Migration workstream encompassed the full suite of leases for all of GPT’s operations (i.e., Retail, Commercial, Logistics, and Flexible Workspace divisions). The dataset that was migrated included all billings-related data (from lease inception to cutover date), lease clauses, rent reviews, renewal details, PLI, Bank Guarantees, etc. This included a full reconciliation of the monthly rent roll during each data rehearsal.
A post-implementation internal audit of the project by PWC endorsed the approach, methodology, tools, reconciliation evidence, and data signoffs and provided the audit committee with a ‘clean bill of health’ status without a single finding/recommendation.
The Relationship
Elwyn continued to provide business integration planning and activities to integrate acquisitions into GPT having a deep understanding of the end-to-end process and other impacts on the business ecosystem.
