Overview
Building on the current-state process documentation, DT Infrastructure initiated a payroll technology transformation. The business decided to replace its existing platforms for Time & Attendance, Award Interpretation, and Payroll with a combination of UKG and SAP Payroll, while retaining SAP SuccessFactors. This transformation aligned with the future operating model and end-state architecture.
Challenge
The technology replacement required a phased approach, with UKG implemented first, followed by SAP Payroll. Key challenges included:
- Ensuring a seamless transition to avoid disruptions to employee payments and compliance.
- Adopting UKG’s out-of-the-box functionality, which required SMEs to rethink established processes and document award interpretation in detail.
- Defining the effort, timeline, and total cost of ownership to secure internal approvals before project commencement.
A carefully planned transition was essential to mitigate risks and align with the organisation’s strategic goals.
Solution
DT Infrastructure engaged Elwyn Consulting in September 2025 to support project planning, estimation, and vendor selection. Elwyn collaborated with UKG to address DT Infrastructure’s specific requirements through targeted demonstrations and pre-contract activities. Key contributions included:
- Documenting future-state Time & Attendance and Award Interpretation requirements.
- Facilitating workshops with stakeholders and SMEs to inform system configuration.
- Developing a comprehensive implementation plan that integrated DT Infrastructure’s inputs with the UKG project plan.
Creating a detailed RACI framework to define responsibilities, implementation risks, effort, duration, and required resources.
Outcome
Elwyn delivered a robust implementation plan that de-risked both the contracting phase with UKG and the future deployment. The approach ensured alignment with the end-state vision, optimised the adoption of UKG, and enhanced accuracy in planning. This reduced implementation risks and improved readiness for execution, setting the foundation for a successful transformation.
